Start with the handoff you actually need.
Changing billing companies can leave uncomfortable gaps. An authorization is still pending. Last month’s claims are unpaid. Someone needs access to a payer portal, but no one is sure who can approve it.
We begin by reviewing your current arrangement and mapping the work that must continue through the transition. That includes new services, open claims, outstanding records requests, payments arriving after the switch, and any historical balances you want reviewed.
Agree on scope before moving work.
Your proposal should identify the providers, locations, systems, and services JAWZ will handle. We also identify work that stays with your practice or another partner. Historical A/R, credentialing, and facility billing need an explicit decision rather than an assumption.
You receive a defined scope and price before cutover. A named transition lead coordinates the plan and gives your staff a place to raise questions.
Prepare access and responsibilities.
We work through the permissions, agreements, records, and system access needed for the agreed workflow. Your team helps confirm who can approve access and provide the information required to begin.
Each group of open accounts needs an owner. We distinguish claims JAWZ will manage from work remaining with your previous billing partner, including who will post payments, respond to payer requests, and report unresolved items.
Check the workflow before the cutover date.
Readiness matters more than an arbitrary launch date. We check the agreed submission, payment-posting, and reporting workflows, then resolve gaps that would prevent work from moving.
The cutover plan identifies when responsibility changes, how questions reach the right person, and what happens to work already in progress. Your practice should be able to explain the handoff without reconstructing a chain of emails.
Watch the first weeks closely.
After cutover, the transition lead monitors incoming work and brings access problems, missing information, and processing issues back to the right owner. We keep track of what is resolved and what still needs attention.
As the workflow settles, your practice moves into the regular reporting and account-management rhythm. Open transition items remain visible until they have a resolution or an agreed next step.

The timing depends on your current agreement, system access, available records, and the amount of open work. We review those dependencies with you before committing to a date.
